Coach My Health is the website for Dr. Cherise Cody. This policy explains how we handle information on this website. For privacy questions or requests, contact hello@coachmyhealth.com.

Website chat and callbacks

The website chat is an automated assistant. It answers questions about the office, such as hours, location and booking, and describes the kinds of care Dr. Cody offers for common concerns, based on the information on this website. It does not diagnose, assess symptoms, recommend treatment, or replace an evaluation. It is not for emergencies: call 911, or call or text 988 in a mental health crisis.

What you type in the chat is saved with the conversation so the office can read it and reply, and so the assistant can follow the conversation. Office staff can see the full conversation. Please keep messages brief and leave out medical records, insurance or payment details, and other private information you do not want stored. If you ask for the office, or the assistant cannot help, the conversation is flagged for a staff member. If you request a callback, we also save your name, the email address or telephone number you provide, and your agreement to be contacted. We use this information only to respond to you and coordinate office follow-up. A request does not subscribe you to marketing. We do not use your information for advertising, spam, or health profiling.

Site analytics

We use first-party analytics to understand visits, QR-code arrivals, device categories, browser families, approximate country and region, referring website domains, and clicks on links such as call, text, directions and email. Approximate location comes from hosting-provider request headers; we do not request GPS access or store IP addresses in analytics. Browser information is reduced to a family such as Safari or Chrome, without retaining the full user-agent string. A random identifier in session storage groups activity within a browser session. It does not identify you by name. We do not connect analytics to chat or callback contact details, record form contents, store full referring URLs or query strings, or use advertising pixels, fingerprinting or session replay. Click counts indicate a link was opened; they do not confirm a call, message or appointment.

We do not sell or share your information for targeted advertising or track you across unrelated websites. Optional analytics respect browser Do Not Track and Global Privacy Control signals. You may also turn analytics off below. The preference is stored only in this browser.

Service providers and browser storage

Our hosting and database providers (Vercel and Neon) process information needed to operate and secure the website. Connected email providers, including Zoho, process office email and notifications. To write chat replies, the assistant sends your message and recent messages in the same conversation to OpenAI models through Vercel AI Gateway, together with office information and this website’s FAQ. Callback contact details are not sent. Staff may also use the same service to suggest a reply to a conversation, which a staff member reviews before sending. Every automated reply is checked before it is shown, and replies that would diagnose or recommend treatment are replaced with approved office wording. These providers process the text to return a reply. Providers may process technical information such as IP addresses and request logs for hosting and security. Fonts are served from our own servers, so no information is sent to Google Fonts.

Essential cookies maintain staff sign-in and a visitor’s conversation. The visitor conversation cookie lasts up to seven days. Session storage supports optional analytics, and local storage remembers an analytics preference. We do not use marketing cookies.

Retention, access and deletion

Chat conversations are archived after a period without activity, and a new message from you reopens them. Website conversations and callback requests, including archived ones, are deleted 90 days after they were last active or archived. Office contact records are kept for responding to inquiries and ongoing office communication until the office removes them or receives a verified deletion request. Analytics events are retained for up to 90 days. Cleanup runs daily in bounded batches. Office email and provider security logs follow their separate retention settings. Access to office conversations and analytics requires staff sign-in. To request access, correction or deletion of website information, email hello@coachmyhealth.com. We may need to confirm your identity before acting.

Other services and children

Calling, texting, email, maps and other external links open services with their own privacy practices. This website is intended for adults arranging care, including parents or guardians. We do not knowingly solicit children’s personal information. Contact us if a child has submitted information so we can address it.

California privacy rights

If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), may give you rights over your personal information. The categories we collect through this website are described above: identifiers you provide (name, email, phone), the content of chat messages and callback requests, and limited technical and analytics data. We collect it from you directly or from your browser, and use it only for the purposes described in this policy.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We do not use or disclose sensitive personal information for purposes other than responding to you and operating the website.

You may have the right to know what personal information we collect, use and disclose; to request a copy; to request correction or deletion; to limit the use of sensitive personal information; and not to be discriminated against for exercising these rights. To make a request, email hello@coachmyhealth.com. We will confirm your identity using information we already hold and respond within 45 days. An authorized agent may submit a request with your written permission.

Medical information. Health information that becomes part of your care, such as intake forms, records and visit notes, is handled under the California Confidentiality of Medical Information Act (CMIA) and, where it applies, HIPAA, rather than this website policy. Please do not send medical details through the website chat.
